1.Run the EdAdmin4 and then under Application Configuration, click Workstates.
2.Do one of the following:
•To create a new workstate, on the Action menu, click New.
•To edit an existing workstate, select it and then on the Action menu, click Edit.
•To delete a workstate, select it and then on the Action menu, click Delete. Note: you can do it only with workstates that are not assigned to any folder/calendar or content.
3.In Name, type the workstate name. Note: some names may be referenced in group/user parameters, as it's the case for archiving-related workstates.
4.In Color, do one of the following:
•To select a color by descriptive name, click in the list Text Representation, and select a color.
•To enter color as RGB components, enter a number in range of 0 through 255 in the R, G and B boxes.
•Click in the Color rectangle to select a color for the workstate. Drag the slider to change the color range.
5.In Description, enter the workstate description.
6.In Levels, select for which content the workstate should be available. The choices are described in Workstate levels.
7.In Status, only for workstates with Calendar element level, select also the iCalendar status.
8.In Completed, only for workstates with Calendar element level, enter also the completion percentage.
Note
It is possible, but not recommended to assign the same color to more than one workstate.
Deleting Only a workstate that has not been assigned to any editorial element or to a basket can be deleted. Otherwise, a warning message is displayed and operation aborted. If a workstate is not referenced anywhere in the database, it is deleted without any confirmation. Undo is not available. Renaming Renaming of a workstate has no other consequences than the change of the order of appearance of workstates in the drop-down lists and the change of the name in the directory listing and information boxes. All the operations with workstates in the GN4 are based on the unique workstate ID which cannot be changed by users. Changing scope If a workstate you are disabling for certain type was already used for that type, a warning message is displayed, allowing you to continue. Changing color Changing of a workstate color has no other consequences than the change of appearance of workstates where color is displayed. |
